Terms and Conditions

Welcome to Peony Events Planner. These Terms and Conditions form a legally binding agreement between you, the Client, and Peony Events Planner. They govern the use of our event planning services, including weddings, corporate events, birthdays, private parties, catering, décor, and related event management services (collectively, “Services”).

By booking, submitting enquiries, or using our Services, you confirm that you have read, understood, and agreed to be bound by these Terms. If you do not accept these Terms in full, you must refrain from using our website, engaging our Services, or making any bookings.

These Terms define your rights and obligations, the scope of our services, limitations of liability, and the conditions under which we operate. They also outline timelines, payment terms, cancellation policies, and the responsibilities of both the Client and the Peony Events Planner.

Scope of Services

Peony Events Planner provides professional event planning services in Pakistan and internationally. Our Services include planning and coordinating:

  • Weddings, receptions, and related ceremonies
  • Corporate events, conferences, and team-building programs
  • Birthday parties, anniversaries, and private celebrations
  • Décor, floral arrangements, lighting, and theme design
  • Catering, menu planning, and beverage services
  • Vendor coordination, including photographers, entertainers, and caterers
  • Event-day supervision, logistics, and on-site management

All services are subject to availability, vendor schedules, and operational feasibility. Any Services not confirmed in writing are not guaranteed. The Company reserves the right to modify, suspend, or discontinue any Service at any time.

Bookings and Contract Formation

All bookings are subject to acceptance by Peony Events Planner. A legally binding contract is formed only when we provide written confirmation (email or signed agreement), and the agreed deposit is received.

Clients must ensure all booking details are accurate, including: event date(s), venue details, number of guests, service requirements, and any special needs. The Company is not liable for errors or consequences arising from inaccurate or incomplete information.

Once a booking is confirmed, any changes may be subject to availability, additional charges, or operational limitations.

Payments and Pricing

All prices are quoted in Pakistani Rupees (PKR) unless otherwise stated. A non-refundable deposit, typically 30–50% of the total estimated cost, is required to secure a booking. The remaining balance must be paid at least 15 days prior to the Event Date unless agreed otherwise in writing.

Prices may be revised in case of:

  • Changes in Client requirements
  • Vendor cost fluctuations
  • Inflation or currency adjustments

Payments can be made via bank transfer, cheque, or other methods approved by the Company. Failure to complete payments as agreed may result in cancellation of Services or withholding of deliverables.

Client Responsibilities

Clients are expected to:

  • Provide accurate event details, including guest count, venue access, and schedule
  • Ensure timely approvals for décor, menu, and other service components
  • Provide necessary permits, licenses, and safety clearances for the event
  • Communicate changes in writing and in a timely manner

Failure to fulfil these responsibilities may result in delays, additional charges, or cancellation of Services.

Cancellation and Refund Policy

Client-Initiated Cancellation:

  • Cancellation more than 60 days before the Event Date: partial refund of deposit, minus non-recoverable vendor costs
  • Cancellation 30–60 days before the Event Date: 50% of the deposit forfeited
  • Cancellation less than 30 days before the Event Date: full deposit forfeited, plus any non-recoverable vendor costs

Company-Initiated Cancellation:

  • In emergencies, natural disasters, or vendor unavailability, the Company may cancel Services
  • Full deposits will be refunded, and the Company will make reasonable efforts to assist in rescheduling

Refunds, if applicable, will be processed within 14–21 business days.

Vendor Coordination

Peony Events Planner may engage third-party vendors to provide catering, décor, entertainment, or other Services. While we carefully select and supervise vendors, the Company is not responsible for the acts, omissions, or negligence of any third-party vendor. Clients acknowledge that any disputes with vendors will first be communicated to the Company, which will attempt to resolve them in a reasonable manner.

Event Timeline and Delivery

The Company will provide detailed timelines for event preparation, setup, and execution once the Services are confirmed. Some services, such as décor or equipment setup, may require access to the venue 12–24 hours prior to the Event Date.

Delays caused by traffic, weather, venue restrictions, or government regulations are beyond the Company’s control. The Company will make reasonable efforts to mitigate these delays.

Safety and Conduct

Clients and guests must adhere to safety regulations and behave responsibly. The Company reserves the right to terminate Services or remove personnel if client or guest behaviour endangers staff, vendors, or other attendees.

Intellectual Property

All designs, décor concepts, photographs, videos, and promotional materials remain the intellectual property of Peony Events Planner. Clients may not reproduce, share, or commercially exploit these materials without prior written consent. The Company may use event photos or videos for marketing purposes unless confidentiality is requested in writing at least 15 days prior to the Event Date.

Limitation of Liability

Peony Events Planner shall not be liable for:

  • Indirect, consequential, or incidental losses
  • Vendor failures, delays, or negligence
  • Events beyond reasonable control, including natural disasters, strikes, or government restrictions

Maximum liability, where permitted by law, is limited to the total amount paid by the Client for the Services in question. Liability for death or personal injury resulting from the Company’s negligence is not excluded.

Force Majeure

The Company is not responsible for delays or failures caused by circumstances beyond reasonable control, including:

  • Extreme weather conditions
  • Government orders or lockdowns
  • Strikes, industrial actions, or transportation disruptions
  • Vendor unavailability or supply shortages

The Company will make reasonable efforts to resume Services or assist with rescheduling.

Data Privacy

Client data collected for bookings, communications, or event management is handled in accordance with applicable data protection laws, including Pakistan’s data protection guidelines. Information is used solely for Service delivery, communication, and compliance. Personal data is never sold to third parties.

Insurance

Clients are encouraged to obtain insurance covering event cancellations, property, and liability. While the Company may recommend insurance, it is not responsible for losses arising from uninsured risks.

Amendments

The Company reserves the right to update or revise these Terms at any time. Updated Terms take effect immediately upon publication on our website. Continued use of Services constitutes acceptance of updated Terms.
